Useful Information for Attendees

MARSS2025 Registration Desk

A conference registration desk will be set up at the Opening Reception in the Shively Club at Ross-Ade Stadium (3rd floor) on July 28th, from 17:00-20:00.

The main registration desk at Stewart Center is located on the first floor, room 109, and will be open from 8:00−17:00 on July 29-31.

At the registration desk, you will receive your welcome bag with a name badge and conference materials. You are kindly requested to wear your name badge throughout the conference. Our support team at the registration desk and MARSS volunteers at the venue, will be happy to assist you with any questions you may have.

Information for Speakers

The official language of the conference is English. All speakers should locate their session room 5−10 minutes prior to the start of the session, and inform the session chair on their arrival. Each session room has a video projector. Please use your own laptop for the presentation. It is advisable to try your laptop with the video projector in advance, during break time, to ensure the connection is working. On-site technical assistance will be available.

All presentations must adhere strictly to the allotted time to ensure smooth working. The time allocation for presentations at MARSS2025 is as follows:

  • Plenary talk:                                  40 min (35 min + 5 min discussion)
  • Technical session talk:              20 min (15 min + 5 min discussion)

Information for Session Chairs

Session chair should arrive at the session room 10 minutes prior to the start of the session, check the attendance of all speakers and make sure of correct pronunciation for the speakers’ introduction. If a speaker is not present in the session, the original schedule has to be maintained, since people may come from other parallel sessions to attend a specific talk. Thus, in such a case, there will be a 20-minute break. Please report any missing talk to the conference secretariat after the session end.

It is crucial that the sessions run strictly on schedule. Each 20 minutes slot normally includes 15 minutes talk and 5 minutes Q&A. Session chairs should warn the speakers 7 minutes before the end of the 20 minutes slot and show the “2 min” cardboard sign. Some speakers are uncooperative and use all 20 minutes for the talk. Please be firm in not permitting speakers to run over the allotted time of 20 minutes. In such cases, there is no Q&A. If necessary, ask the attendees to use the microphone during discussion.

Food and Beverage

All refreshment breaks will be served at the scheduled time in the Stewart Center, Room 214 on the second floor. Boxed lunches will also be provided in the same room and are included in the registration fee. Coffee and drinking water will be provided throughout the conference.

Award Ceremony

The Award Ceremony is an essential part of the MARSS2025 Closing Ceremony, which will start at 17:50 on July 31 in Fowler Hall just after the last plenary talk. All accepted and presented full papers will compete for Best Paper Awards in different categories. The Awards Committee will announce and present the prizes to all the nominees and winners.

MARSS2025 will present the annual Big-on-Small Award to promote up-coming talents with an excellent research track and international visibility. Members of the Steering Committee and the Academic Advisory Board nominated five candidates and decided by anonymous voting. At the Award Ceremony, all nominees will receive a certificate of Award nomination, and the Big-on-Small Award winner will be announced and honored by laudation.

Conference Banquet Dinner

If you are registered for the full duration of the conference, you will receive a banquet ticket at registration. The MARSS conference banquet is always an informal event, without a strict agenda. We enjoy a relaxed get-together, conversation with colleagues, and some fabulous cuisine in a unique location after the exciting yet work-intensive conference days.
